Privacy notice
A plain-English summary of how we handle website, enquiry and business-contact information.
Last reviewed and approved: 5 September 2026. Updated 6 October 2026 to describe Cal.com booking, connected Google calendars and the existing enquiry form and email alerts.
Who is responsible
Valmont Ltd, company number 17268529, is responsible for the information described here. Email troy@withvalmont.com with a privacy question or request.
What we receive
Our host processes information such as your IP address, browser and request time to deliver and protect the site. If you email us or use the Valmont enquiry experience, we receive the information you choose to share. The current form asks for your website or business page, industry, goal, email address and phone number. Earlier forms also collected your name, business name, operating footprint, priorities, existing systems and timing. If you book a call, we receive the contact details, appointment time and answers you provide to Cal.com. Please do not send patient records, case files or other sensitive personal information through this enquiry route.
You choose whether to contact us. If you do not give us a way to reply or enough detail about your enquiry, we may not be able to help.
If Valmont contacts you
Our initial outreach is limited to people in relevant work roles at UK limited companies and limited liability partnerships. We use a small amount of business information: the organisation and its website, sector and location; a work name, role, business email address or business telephone number where needed; the public evidence behind our reason for contacting you; and a record of contact, replies and next steps.
This information may come from Companies House, your organisation’s website, public business directories, public professional profiles, a business data provider we have checked, or directly from you or your organisation. We do not use residential addresses, special-category information or private-life profiles for prospecting.
Every first message identifies Valmont, explains the business reason for contact, links to this notice and gives a simple way to opt out. Before a live marketing call, we check the number against the Telephone Preference Service, the Corporate Telephone Preference Service and our own do-not-contact record.
Why we use it
We use this information to answer enquiries, discuss work you ask us about and keep the site secure. When you submit the form, you ask us to reply by email or phone about your request; it does not add you to a marketing subscription. We rely on legitimate interests in responding to business enquiries and protecting the website, or steps you ask us to take before entering a contract where that applies.
For relevant corporate business outreach, we rely on our legitimate interest in developing Valmont’s business. We use public business context to decide whether a concise, role-relevant conversation may be useful. We do not use this basis to send cold email to sole traders or other individual subscribers.
The services involved
The website and native enquiry receiver are hosted on Valmont’s Vercel infrastructure. Submitted enquiries are stored privately for Valmont to review and are not shared publicly. An internal alert sends your submitted brief to Valmont’s business inbox through Google Workspace. Your unfinished brief stays in the current page’s memory; it is not saved to browser storage or sent as you type. Business email, Google Calendar appointments and Google Meet use Google Workspace. Cal.com handles booking details and confirmations, checks our connected Google calendars for availability and adds confirmed appointments. The booking link opens Cal.com only when you choose it. This website has no advertising pixels, analytics scripts or embedded booking tools. It does not ask visitors to sign in, and the website code sets no cookies.
Vercel and Google may process information outside the UK. Their current data-processing terms include contractual safeguards intended for relevant international transfers, and they publish information about their subprocessors. We review these arrangements at least annually and whenever the website or its suppliers materially change.
How long we keep it
Prospect research that is never approved or contacted is rechecked or deleted after 90 days. If we contact someone and receive no genuine response, we delete the prospecting content within 12 months of the final outbound attempt.
For enquiries that do not become client work, our retention period is two years from the last meaningful contact. We may keep relevant records longer if a specific legal requirement applies.
We review unsuccessful enquiries every quarter and delete expired copies from the business mailbox, the private enquiry store, relevant Cal.com and Google Calendar records and private work system, unless an active matter or a separate legal requirement means we need to keep them. Client and contract records need a separate retention schedule.
The website does not add analytics or copy website request logs into a separate Valmont archive. The enquiry receiver uses a temporary, keyed hash of network information to limit repeated requests. It does not store the raw IP address with your brief. Rate-limit records are reviewed and deleted after 30 days. The host may keep limited technical information to deliver and protect the service under its current terms and settings.
Your right to object
You have an absolute right to stop us using your information for direct marketing. Reply to our message, tell us during a call, or email troy@withvalmont.com. We stop the marketing and keep only the minimum do-not-contact record needed to prevent you being added again.
You can also object to other uses based on legitimate interests. Tell us how that use affects you and we will consider your circumstances and explain our response.
Your choices and rights
You can contact us about access, correction, deletion, restriction, portability or objection to the use of your information. Which rights apply depends on the circumstances. You can also raise a concern with the Information Commissioner’s Office.
Automated decisions
This website does not use AI to score your enquiry or make decisions about you. The form offers suggested goals and can carry your industry choice through from the page you visited. It does not run an automated application, eligibility or pricing process.
Our private Cleats system may help organise public business evidence, rank account relevance and prepare a draft action. A person reviews whether Valmont should make the first contact and what it should say. We do not use this process to make solely automated decisions with legal or similarly significant effects.
