# Give the repeat work to a system.

Canonical page: https://withvalmont.com/ai-automation

We build AI agents, assistants and automations to carry out agreed jobs for your business.

[Let’s talk](https://withvalmont.com/contact/index.md) — 15-minute introduction.

## AI agents: Give it a job. It takes the next steps.

We build agents that use your tools to get a job done, within the limits you set.

Illustrative concept: Help with a new enquiry. A customer asks for a quote.

1. Check the enquiry — Request: a quote for a new project.
2. Create a customer record — Contact and request saved together.
3. Prepare a reply — Draft: “Thanks. When would you like to start?”.

Your team approves the reply. You choose what it can do and when it must ask.

For owners and team leads whose people spend too much time gathering, checking, moving or repeating information.

## From a daily task to a working assistant

Illustrative concepts, not client results or working applications.

### From a repeated task to work taken care of.

Illustrative project, not a client case study.

#### 1. Talk

Your starting point: Every morning, I check several tools to work out what needs me.

Valmont: Which updates matter, and which decisions should stay with you?

You: New customers, changed quotes and upcoming work. I make the decisions.

We check the goal, budget, timing and who needs to be involved.

#### 2. Agree

Your first AI assistant

- Read agreed records
- Prepare a daily briefing
- Flag decisions for you

A preview where useful. Then an agreed scope, price and dates for the build.

#### 3. Build

You: Can it highlight what needs my approval?

Valmont: Yes. We test those checks, including missing or unclear information.

You see progress each week. We test the work together before launch.

#### 4. Use

The assistant, in use

A briefing prepared from your records. Decisions brought to you.

You check and accept the first version. We keep it running and improve it with you.

Illustrated starting point: Three tools to check before the day begins.

- Customers: New enquiry. Needs a reply.
- Documents: Quote updated. Needs a review.
- Work: Delivery due. Needs confirming.

Planned system: Agreed records → Prepare briefing → You review. It prepares the update. You make the decisions.

First version for review: Your morning briefing. From your agreed records. What changed: A new enquiry. Coming up: A delivery to confirm. Needs your approval: Review the updated quote. Nothing sent. Ready for your review.

Example AI assistant: customer, work and document updates feed a morning briefing. The owner reviews a quote and confirms a delivery; no messages or decisions are sent automatically.

1. Read
2. Prepare
3. Review

The update is ready. The decisions stay with you.

## Your morning update, already prepared.

Here, an owner checks several tools to plan the day. We build an assistant that gathers those updates into one briefing, with the decisions that need their attention.

### Choose what it can use.

You choose which records and tools it can read, what it can do and what a useful result looks like.

### Build and test the task.

We build the task, check its answers and test what happens when information is missing or something goes wrong.

### Agree when a person steps in.

Once tested and approved, routine tasks can run on their own. Important decisions and unusual cases go to the person you choose.

## What could we build?

### Personal assistants

Find answers. Prepare the day.

Find answers in your records, prepare for meetings and draft updates for review.

Illustrative example:

- Starts with: You need to prepare for a customer meeting.
- With your system: An assistant gathers their history and the points to discuss.
- Your part: You check the source records and decide what to use.

### Automation

One task starts the next.

Connect your tools so an agreed event starts the next task, without someone copying information each time.

Illustrative example:

- Starts with: An enquiry arrives through your website.
- With your system: An automation saves the details and creates a follow-up task.
- Your part: Your team handles the conversation. Exceptions come to you.

### Documents & knowledge

Get to the details that matter.

Pull out the details your team needs and prepare a summary they can check against the original.

Illustrative example:

- Starts with: A long document arrives.
- With your system: The key dates, amounts and points to check are brought together.
- Your part: Your team checks them against the original before acting.

## Start with a job you can measure.

Look at how the work happens today, the time it takes and the quality required. Agree the allowed actions, review points and what happens when something goes wrong.

If there is a useful fit, we agree a free personalised preview before the paid build. The preview and working release have separate scopes and dates.

## Built with you. Looked after by us.

One monthly payment. Three months to start.

### Scope, pricing & ongoing service

A separate build fee and monthly service can also be agreed.

Our usual starting arrangement is one monthly payment with a three-month initial commitment. It covers the agreed build, running the systems and a defined amount of improvement.

We can also agree a separate build fee followed by monthly service. You receive a clear scope and price before deciding. Substantial additions are quoted separately.

After the initial commitment, our proposed standard is monthly continuation with 30 days’ notice, confirmed in your agreement.

### Outcome guarantee & refund

Before you commit, we agree the starting point, the improvement we’re aiming for, the quality required and when we’ll measure it. We also set out what each of us needs to do and the amount we’ll refund if the agreed outcome is missed. Those terms are written into your agreement, so you know what the promise covers.
